Record and manage voice notes
Available to
Clinicians.A voice note is a dictation recorded on the session, with a transcript. The patient must consent to audio notes first. Reception and nurses have no access to voice notes.
Record a voice note
- Open the session and tick Patient Consented to Audio Notes. Save.
- Once the session has started, open the Voice & AI tab.
- Choose the spoken language: English or the Arabic variant of your country.
- Select Start recording. The waveform runs. If your browser supports speech recognition (Chrome, Edge or Safari), the transcript appears as you speak.
- Select Stop. Check the transcript and correct it.
- Select Save voice note.
On each voice note
| Button | What it does |
|---|---|
| Play | Plays the recording. Each play is audited. |
| Full transcript | Opens the transcript to read or edit. An edit is flagged on the note. |
| Transcribe on server | Sends the audio to an approved speech provider. It needs the patient's consent to AI assistance and a provider that allows audio upload. |
| Generate AI draft | Asks an approved AI provider for a draft from the transcript. See the guide on reviewing an AI draft. |
| Delete | Destroys the audio and the transcript. A reason is required, and a record of who, when and why stays. |
Rules
- Only the assigned clinician, or a HIS manager, can record or change a note.
- Browser speech recognition may send audio to the browser vendor's service. If your organisation cannot accept that, use server transcription with an approved provider, or a typed transcript.
- The maximum recording size is 25 MB, set by an administrator.
- Audio is private. It can only be heard through Play, which checks the patient's facility and sensitivity and is never cached.
