Track lots, serial numbers, expiry, and FEFO issue

Explain the selection rule in plain language:

  • Lot or batch: identifies a group of items with common production or receipt characteristics. Use it for medicines, reagents, consumables, and other batch-traced goods where required.
  • Serial number: identifies one individual item, commonly a device, implant, or high-value item that needs item-level history.
  • Expiry and removal date: identifies when an item must no longer be issued and when it should be selected out of usable stock before that date.
  • FEFO: First Expired, First Out. When configured, it reserves stock with the earliest removal date first; it does not replace staff review of alerts, physical condition, or a local “do not use” decision.

Steps

  1. Ensure the product’s tracking and expiry policy is configured before receiving stock.
  2. Capture the actual lot or serial and expiry details at receipt or the approved correction point.
  3. Review detailed operations before transfer or issue to confirm the selected lot or serial and destination.
  4. Use the approved FEFO, expiry review, or manual selection process for the item category.
  5. Investigate a missing, expired, recalled, or conflicting traceability record before issue.
