Record payments and issue credit notes

Finance Officer, Cashier, and authorised Revenue Cycle or Billing Officer.

Steps

  1. Locate the correct open invoice by customer, document number, date, and amount. Confirm the legal entity and currency.
  2. Record the payment with the actual method used, such as cash, card, bank transfer, or approved payment provider. Follow the local cash-control and card-settlement process.
  3. Match the payment to the intended invoice or open balance. Escalate an ambiguous remittance rather than applying it to a similarly named patient or customer.
  4. If a commercial correction is needed, create an approved credit note that references the original invoice and states the controlled reason.
  5. For a pharmacy return, complete the approved product, stock, prescription, and POS refund checks before the financial refund is issued.
  6. Reconcile cash and bank activity through the approved finance process; investigate unmatched or duplicate transactions.
